Cold email to B2B leads: how to write the first message

4 min read · TropLead team

A good lead list is only half the work. The first message decides whether the conversation starts. Here is a simple structure that works for most B2B offers.

The structure of a first message

  1. Personal opening: one sentence that shows you know the company, for example its product or market.
  2. The problem you solve: in their words, not yours.
  3. Proof: a short example or result, if you have one.
  4. One easy question: “Is this relevant for you?” works better than a request for a one-hour meeting.

Subject lines

Short, specific and without sales words: the company name, the topic and nothing more. Avoid capital letters and exclamation marks.

Follow-ups

Most replies come after the second or third message. Send a short follow-up after 3 to 5 working days and add something new each time.

Phone and LinkedIn

Combine channels. A call or a LinkedIn message after the e-mail makes your name familiar and raises the reply rate.

Check the law

Rules for unsolicited e-mail differ between countries. In Germany, for example, advertising e-mails usually need prior consent even between companies, while France allows B2B e-mails related to the recipient's job. Always tell the contact where you found their data and how to opt out.

TropLead delivers B2B leads with the decision-maker's e-mail and the source of every contact, so your first message can be personal and transparent.
